Administrative Assistant/Project Coordinator

Wight & Company, an award-winning integrated architecture, engineering, and construction firm based in Darien, Illinois, has a tremendous opportunity for an experienced Administrative Assistant/Project Coordinator. The ideal candidate will be enthusiastic, motivated, and have 2+ years of experience to help support the team!

Summary: This position requires working very closely with the Project Managers to assist them in all areas of Project Management. It will require administrative duties such writing, proofreading, and formatting proposals, presentations, and contract documents, as well as scheduling meetings, lunches, and travel for architectural team, clients, and consultants.

Communication with the client, consultants, construction manager, and design team must be handled in a professional and timely manner. This can include verbally, electronically, and in writing. 

Reports to: Project Managers, Administrative Manager

Responsibilities

  • Administrative file maintenance  
  • Provide administrative assistance to Directors and Project Managers
  • Order lunches and provide assistance preparing and setting up for lunch meetings
  • Track and replenish office supplies for team
  • Package/ship/track outgoing packages and deliverables                           
  • Proofread/edit/format client correspondence
  • Make outreach phone calls regarding contract bids
  • Assemble spreadsheets and sample booklets for interior design projects
  • Basic graphic design support preparing presentation handouts, booklets, reports utilizing PowerPoint and Excel
  • Meeting planning and scheduling
  • Maintain shop drawing and submittal logs as needed
  • Backup switchboard coverage as needed 

Requirements

  • Associate’s degree in Marketing, Communications, English, or Finance (or related area of study).
  • Software proficiency in Microsoft Office Suite. Knowledge of Adobe Creative Suite (InDesign, Illustrator, Photoshop, and Acrobat) is a plus.
  • Extremely organized with ability to prioritize a diversified workload.
  • Willingness to quickly change priorities and be open minded to new opportunities.
  • Shows initiative, diplomacy, and confidentiality in daily actions.
  • A sense of humor and positive attitude.
